Email templates

How to create, manage, and use email templates in Tract to send common messages faster.

Email templates are pre-written emails you can access and send directly from your Tract inbox without writing the same message from scratch every time. Templates are useful for the emails you send repeatedly — intro emails to new clients, showing confirmations, document request follow-ups, offer submission notifications, and closing day instructions.

Templates are accessible from the compose window. Start a new email or open a reply and click the Templates icon in the bottom left of the window. Your saved templates appear in a list — select one and it populates the subject line and body instantly. Edit the content before sending to personalize it for the specific deal or recipient.

  1. Navigate to Settings
  2. Select Email Templates
  3. Click New Template
  4. Enter a template name — this is for your reference only and won’t appear in the email
  5. Enter the subject line
  6. Write the email body
  7. Save

The template is immediately available in the compose window.

While writing a template body, use the slash command to insert deal placeholders — contact names, property addresses, closing dates, and other deal details. When you apply the template to an email linked to a deal, Tract fills in the placeholders with the correct information for that transaction automatically.

  1. Go to Settings → Email Templates
  2. Click the three-dot menu on the template you want to edit
  3. Make your changes and save

Changes apply immediately to the template. Previously sent emails using that template are not affected.

  1. Go to Settings → Email Templates
  2. Click the three-dot menu on the template you want to remove
  3. Select Delete and confirm

Deleted templates are removed immediately and cannot be recovered.

Tips for building a useful template library

Section titled “Tips for building a useful template library”

Start with the emails you write most often. A few high-value templates for most agents and attorneys:

  • New client introduction
  • Showing request confirmation
  • Document request follow-up
  • Offer submitted notification
  • Inspection scheduled confirmation
  • Closing day instructions
  • Post-closing thank you

Keep template bodies short and conversational — the goal is to save time on the structure, not to replace the personal touches that make your communication feel genuine.
